Privacy Policy
Rev 0 · Last updated: October 11, 2026
This Privacy Policy explains how Geared Growth LLC ("Geared Growth," "we," "us," or "our") handles information in connection with the CapaciPlan product, our marketing website, and related services (together, the "Services"). CapaciPlan is a business tool: the Services are designed to be used with the professional and operational information a company needs to plan and schedule its work.
By using the Services, you agree to the practices described in this Policy. If you do not agree, please do not use the Services.
Contact for any privacy question or request: hello@capaciplan.com
1. Who this Policy covers
This Policy applies to visitors to our marketing website and to users of the CapaciPlan application (the "App"), including people invited to an account by their organization. It does not cover third-party websites or services that we link to or embed, such as a scheduling service or a video host, which operate under their own privacy policies.
2. Information in the Services
2.1 Marketing website
Our marketing website is intentionally minimal. We do not run advertising trackers, analytics pixels, session recorders, or heat-mapping tools on it. Limited technical information, such as IP address and browser type, is processed automatically by our hosting and content-delivery providers to deliver the page and protect it from abuse. Two parts of the site involve third parties:
- Scheduling link. If you click a link to book a meeting, you are taken to a third-party scheduling service, which handles any information you enter under its own privacy policy. We receive only the meeting details you choose to book.
- Embedded demo video. The demo video is embedded from a third-party video host in privacy-enhanced mode. When you choose to play it, your browser connects to that host under its own privacy policy. We do not send any of your information to the video host, and the video host does not receive information from the App.
2.2 The CapaciPlan application
The App is built to store the information a company needs to plan and schedule its work. To provide the App, the following is stored:
- Account information you provide, such as your name, work email address, and company or team details.
- Content you and your organization enter ("Customer Data"), such as projects, tasks, resources, schedules, and related planning information. This content is stored because the App needs it to function and to show you your plans — not for any marketing or advertising purpose.
- Authentication information needed to sign you in and keep your session secure.
- Technical and operational information generated automatically, such as IP address, device and browser information, log data, and timestamps, used to operate and secure the App.
2.3 Personal information
The Services are intended for business use, and we ask only for the business and operational information needed to provide them. We do not request sensitive personal information — such as health, biometric, government-identification, or financial-account details — and you should not submit it through the Services. We do not sell personal information or use it for marketing. You are responsible for the information you choose to enter, and we ask that you not provide sensitive personal information that the Services do not require.
2.4 Payment information
Payment details, if any, are handled by a third-party payment processor and are not stored on our own servers.
3. How we use information
We use information to:
- create and manage accounts and authenticate users;
- provide, operate, maintain, and improve the Services;
- respond to inquiries and provide support;
- send service-related communications, such as invitations, password resets, and important notices;
- protect the security and integrity of the Services; and
- comply with legal obligations.
For users in the European Economic Area or United Kingdom, our lawful bases are performance of a contract, our legitimate interests (to operate, secure, and improve the Services), your consent where required, and compliance with legal obligations.
We do not sell personal information, and we do not use Customer Data to serve advertising.
4. Service providers and disclosures
We do not sell your information or trade it for marketing. Your information is processed and disclosed only as follows:
- Service providers (processors). We use a small set of reputable providers to host and operate the Services — for example, infrastructure and database hosting, content delivery and security, and transactional email. These providers process information only on our behalf and under agreements requiring them to protect it. A current list of our key providers is available on request at hello@capaciplan.com.
- Within your organization. Your data is kept within your organization's own account. The authorized administrators and leaders of your organization can access the account information and the data inside your organization's own account.
- Legal and safety. We may disclose information when required by law or legal process, or to protect the rights, property, or safety of our users, the public, or us.
- Business transfers. If we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.
5. Cookies and similar technologies
- Marketing website: no advertising or analytics cookies. Embedded third-party content may set its own cookies only if you interact with it.
- Application: we use strictly necessary cookies and similar technologies to keep you signed in and maintain session security.
Because our use is limited to strictly necessary and functional technologies, we do not display a tracking-consent banner. If we introduce analytics or advertising technologies, we will update this Policy and provide any consent mechanism required by law.
6. Data retention
While your account is active, we keep your information to provide the Services. On expiration or termination of your account:
- you may request an export of your Customer Data within thirty (30) days;
- we then keep the account inactive for a further sixty (60) days, during which it can be reactivated with its data intact; and
- after that, we delete or de-identify Customer Data from our active systems.
Routine backups are overwritten on our normal backup cycle, and we may retain limited information where required by law or to resolve disputes and enforce our agreements.
7. How we protect information
We use reasonable technical and organizational measures, including encryption of data in transit, access controls, and reputable hosting providers. Passwords are stored only in hashed (irreversible) form by our authentication provider; we never store them in plain text and cannot see your actual password. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your rights and choices
Depending on where you live, you may have the right to:
- access a copy of your personal information;
- correct inaccurate information;
- request deletion;
- request portability;
- object to or restrict certain processing;
- withdraw consent where processing is based on consent; and
- be free from discrimination for exercising your rights.
To exercise any right, contact hello@capaciplan.com. We will respond within the timeframe required by applicable law and may need to verify your identity. If your information was entered into an organization's account, we may direct your request to that organization.
European and UK users may lodge a complaint with their local data protection authority. California (CCPA/CPRA) and Texas (TDPSA) residents have the rights described above; we do not sell personal information or share it for cross-context behavioral advertising.
9. International data transfers
We are based in the United States, and our providers may process information in the United States and other countries. If you access the Services from outside the United States, your information may be transferred to and processed in the United States. Where required, we rely on appropriate safeguards for such transfers.
10. Children's privacy
The Services are intended for business use and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
11. Changes to this Policy
We may update this Policy from time to time. When we do, we will increase the revision number, revise the "Last updated" date, and, where appropriate, provide additional notice. Continued use after changes take effect means you accept the updated Policy.
